How we use information
We use this information to:
- Provide, operate, secure, and improve Market Gravity.
- Set up and manage client accounts and authorized users.
- Conduct expertise interviews and develop writing profiles.
- Generate, review, revise, and approve content.
- Evaluate public visibility across websites, search engines, and AI platforms.

Market Gravity does not sell personal information.
Artificial intelligence
Market Gravity uses artificial intelligence to help conduct expertise interviews, generate ideas and drafts, analyze public information, and measure visibility.
We use commercial API services whose applicable terms and account settings prohibit using client content to train their generative AI models. These providers may retain inputs and outputs for limited periods for security, abuse prevention, service operation, and legal compliance.
AI-generated material can be incomplete or incorrect. Content requires human review and approval. During Phase 1, approving content does not publish it automatically.
Do not submit passwords, API keys, payment-card or financial-account numbers, protected health information, privileged legal communications, or other highly sensitive information through onboarding, interviews, or content requests.
Service providers
We use service providers to operate Market Gravity, including:
- Cloudflare for application hosting, security, sessions, and supporting infrastructure.
- Airtable for operational records and client information.
- n8n for workflow automation.
- Brevo for transactional and service-related email.
- Anthropic, OpenAI, Google, and Perplexity for artificial-intelligence processing and visibility measurement.
- WordPress and our WordPress hosting provider for the public Market Gravity website.
- Other professional, infrastructure, or security providers when reasonably necessary to operate the service.
These providers may process information only for the services they supply to us and subject to their applicable agreements, policies, and legal obligations.
We may also disclose information when required by law, to protect our rights or systems, to investigate suspected misuse, or as part of a business transaction subject to appropriate confidentiality protections.
Client and user access
Access to Market Gravity is limited according to account and client permissions. A client’s users are restricted to their own organization, and individual content is restricted according to its assigned author and approval permissions.
Authorized Aspen Management Group administrators can access client information when necessary to operate, support, secure, and troubleshoot the service.
Clients are responsible for deciding which members of their organization may access their Market Gravity account.
Public content
Content that you approve and publish on a website, social network, newsletter, directory, or other public channel becomes public information.
Removing information from Market Gravity does not automatically remove copies already published elsewhere. Public content may also be indexed, archived, quoted, or analyzed by search engines and AI platforms outside our control.
Retention
We retain information only for the period reasonably necessary to provide the service, preserve agreed measurement history, maintain security, and meet legal obligations.
Our standard retention periods are:
- Active client profiles, people, and voice profiles: for the duration of the engagement.
- Content drafts, topics, and expertise-interview information: for the engagement, then deleted with the rest of the client’s active production data within seven days after the effective termination date.
- Sign-in and access links expire within 14 days. Administrative audit entries: the most recent entries for each record are kept until the record is deleted.
- Security and application logs: about seven days in our hosting provider’s log service.
- Workflow execution records: our automation provider keeps only a limited number of recent runs, typically a few days, and then deletes them automatically.
- Email-delivery records: kept by our email provider, which retains them under its own settings.
- Raw visibility-audit prompts, responses, and supporting evidence: kept for up to 24 months. A former client’s evidence is deleted earlier, within seven days after the effective termination date. We review evidence older than 24 months and then remove client identifiers or delete it where practicable.
- Final audit reports and measurement scores: for the engagement, then deleted within seven days after the effective termination date, except de-identified or aggregated results described below.
- Website contact-form submissions (the “Start a conversation” form): sent to our team by email and not stored on the website. We review them and delete routine submissions from our mailbox regularly, and keep information needed for an ongoing inquiry under the rules for prospects and clients described above. Our email provider keeps delivery records, which may include the message text, for up to one month.
- Former-client information: active production data is deleted within seven days after the effective termination date of the agreement (the end of the monthly billing period in which notice was received), unless a legal hold, active dispute, contractual requirement or other lawful reason requires continued retention.
- Encrypted backup copies are removed when ordinary backup rotation deletes them and may remain until then.
- Prospects: we do not delete prospect records automatically; after 30 days without contact we review each one and either keep it or delete it.
De-identified or aggregated information that can no longer reasonably identify a person or client may be retained for historical measurement, security, and service-improvement purposes.

Some information may be retained when required by law, necessary for security or dispute resolution, contained in active backups awaiting expiration, already made public, or irreversibly de-identified.

Security
We use administrative, technical, and organizational safeguards intended to protect information, including access controls, client separation, limited-duration links, encrypted connections, security monitoring, backups, and human approval requirements.

Changes to this policy
We may update this policy as Market Gravity, our providers, or applicable requirements change. The effective date at the top of the page shows when it was last revised. Material changes will be communicated when appropriate.
